What Personal Data Do We Collect About You, and For What Purpose?

Personal Data Provided During Your Application to Us

When you register an expression of interest or apply for a position with us, you provide several types of personal data, including email, contact information, CV, and a personal letter. We need this information to assess whether you meet the requirements for the position. If you proceed in the recruitment process, you will also need to provide your information to our partner Assessio, our personality assessment (test) provider.

 

Personal Data Specified in the Employment Agreement

Once you have entered into an employment agreement with us, we need to retain information such as your name, social security number, bank/account details, address, contact details for close relatives, and information about your health. We need to retain and process these types of personal data to pay your salary and pension, among other things. We may also need to retain information about your health and well-being, as required by law, in case you require rehabilitation.

 

Personal Data Collected When You Interact With Us via Email, Website, or Telephone

If you contact us via email, telephone, or through our website in connection with a recruitment process, we will retain your contact details until the recruitment is completed or terminated. We retain this information to stay in contact with you during the ongoing recruitment process.

 

Personal Data That May Be Processed for Marketing Purposes

As an employee at Grade, we may need to use your contact information, such as your name, phone number, and email, on our website and in other marketing materials so that customers and suppliers can contact you with questions related to your field of expertise. It may also be necessary to use images of you for marketing purposes. If you object to this, please notify us as soon as possible.

 

How Long Are Your Personal Data Retained?

The personal data collected in connection with your employment will be retained for as long as necessary for the management of our operations and in accordance with legal and accounting requirements. Your personal data will be used for marketing communication until you actively revoke your consent or object to processing based on a legitimate interest.

 

How Are Your Personal Data Protected?

Grade has taken appropriate technical and organizational measures to protect personal data against loss, misuse, unauthorized access, disclosure, alteration, and destruction. To ensure that personal data is processed in a secure and confidential manner, we use intrusion-protected data networks, including firewalls and password protection, in accordance with industry standards. To ensure the integrity of personal data that you provide via the Internet, we may use encryption technology when transferring such data over the Internet to our servers.

 

Your Rights as an Employee

You have the right to obtain information about the personal data we have stored about you. Additionally, according to statutory terms, you can request corrections of inaccurate data, limitation of data, or deletion of your personal data. You also have the right to object to processing based on a legitimate interest. Regarding processing based on a contractual relationship between us, you have the right to request that the data be transferred to another data controller (data portability).
